An organised file supports application assessment; its documents and checkboxes do not equal approval or available funds.

0 / 6 steps prepared
A checked box is your own note. It does not verify documents or complete a procedure. Timelines depend on the file and the relevant authority.
Confirm purpose, institution and submission channel
Start with a one-page brief: what will be financed, how much is requested, what you would contribute, which property is involved and when each amount is needed. Separating land, construction and operations makes the enquiry precise without assuming one product accepts every purpose. Obtain the institution’s current list for that product, your profile and the actual property, together with its official submission channel. Banco Agrario, for example, publishes different requirements for employees, pensioners and independent applicants; that distinction illustrates why a generic list cannot replace lender instructions. This guide organises the file and does not announce land eligibility for that product. Verify that the contact actually belongs to the institution before sending documents. Retain the dated instructions and version. The panel on this page receives no identity documents, tax returns or statements and submits no application. Its first checkbox only records that you prepared the channel and requirements; the real procedure takes place with the selected institution.
Organise identification and income by purpose
Create a section for applicant documents and, where relevant, another for people actually contributing income or taking obligations. Follow the confirmed list to establish required identification, certifications, statements or activity information rather than turning another institution’s examples into universal requirements. Explain material differences between declared income, bank movements and the available cash used for the project. An independent worker’s sales are not automatically free income after expenses. Do not recreate official certificates or alter their contents to make them appear consistent; explain differences honestly and traceably. Banco Agrario distinguishes activity evidence by applicant profile in its publication, providing a starting point for questions. If a document has a required maximum age, record the specific instruction, its issuer and the date it applies to. Do not assume everything expires after thirty days. Keep an outstanding-item list with owners instead of replacing missing information with figures that appear confirmed. A clear explanation gives the lender a reviewable question without manufacturing certainty about payment capacity.
Separate property and project documents
The property file should identify the exact asset, the applicant’s right and its relationship with the loan purpose. Include only the certificates, titles, plans and evidence requested by the institution and professional review for this operation. Do not confuse a parent holding with a portion or a share of rights with an independent plot. Law 1579 addresses property identification and registration publicity; retaining a certificate does not replace interpreting its entries. For construction, prepare technical documents and authorisations appropriate to scope rather than calling an image or pending application a licence. Minvivienda explains the prior, project-specific nature of building permission. An institution may request valuation or title review through its own channels; confirm who commissions these, who bears the cost and when. Avoid ordering duplicate work before checking whether the lender would accept it. The file should distinguish a document supplied by the seller, independent review and a condition still unresolved. These distinctions help prevent a complete-looking folder from implying that the property has already been accepted as security.
Connect the budget with the funding timetable
Prepare a dated budget with line items, scopes and quotations, separating acquisition, works, studies and initial operations. Identify confirmed amounts and those still modelled as assumptions. Add a dated table comparing required payments with own contributions and conditional drawdowns. A requested loan of sufficient size can arrive too late for an advance, and conditional approval is not cash. Ask the institution to explain disbursement conditions and evidence required for each stage. SFC guidance supports clear information about products and costs; use it to ask about insurance, charges and net funds available. If a fee is withheld at disbursement, distinguish the amount owed from funds received. Also retain a delay or lower-income scenario. Financial assumptions should correspond to the same project version shown in plans and quotations. Do not submit the budget for one home while the application describes another area or construction system. Consistency here allows the reviewer to follow where each peso is needed and which condition must be met first.
Share necessary information through verified channels
Retain complete documents in a private folder with limited access and a controlled backup. Give each recipient what their function requires through the confirmed official channel; do not publish the file through open links or attach it to the checklist downloaded here. SIC guidance for digital financial services emphasises purpose, minimisation and informed consent. That reference helps ask why data is requested and who will handle it, without assuming every intermediary may receive everything. If an adviser needs to share documents with another party, clarify the purpose and recipient beforehand. Avoid including personal information about nonparticipating relatives and do not send passwords, access codes or banking credentials as evidence. If you consider concealing fields in a copy, first confirm that the institution accepts that presentation and retain the unmodified original. Protection means controlling circulation rather than falsifying required information. This tool is a preparation checklist and does not request personal-document uploads to the site. Keep the actual application in the institution’s authorised process.
Use versions to identify real changes
Name files by date, subject and version, avoiding complete identity numbers in visible filenames. Keep an index recording issuer, period, receipt date, requirement satisfied, pending review and superseded version. A new document should not silently erase the file’s history. Imagine an initial budget of COP 320,000,000, a planned own contribution of COP 120,000,000 and a loan request of COP 200,000,000. Evidence review shows only COP 100,000,000 of that contribution will be available on the required date; the gap is COP 20,000,000 although the loan request has not changed. These hypothetical amounts explain consistency rather than evaluate creditworthiness. Correct the timetable and brief, label the new version and explain the difference to the relevant recipient. If another quotation excludes foundations, do not treat it as an equivalent replacement for an offer that included them. Institution requirements and cost evidence should make these changes reviewable instead of merely increasing the number of stored files. Record which conclusion must be reconsidered when a material input changes.
Use the six checkboxes without treating them as approval
The panel lets you mark channel and requirements, identification and income, document separation, budget and cash, versions and outstanding items, and submission evidence and responses. These are six personal annotations with equal weight in the preparation bar. Five checked boxes do not imply an approval probability or compensate for a missing essential document. The checklist does not read files, verify authenticity, query credit records, calculate payment capacity or send an application. Downloading creates a file with tasks and states; it does not contain your application documents or constitute a bank receipt. This checklist version has no personal-data fields, date calculation or save and restore between sessions. Download to retain progress and record date, owner and evidence separately. Reset unchecks the list. Institution rules and review of the evidence still determine what remains outstanding. Use the bar to organise work while keeping preparation, submission, assessment and decision as separate states. A completed list can support a discussion but cannot replace a written financing decision.
Retain receipt, questions and outstanding conditions
Before submitting, compare the index with the latest confirmed requirements and check that each file is readable and refers to the correct applicant, property and period. Use the agreed channel and retain institution-issued receipt evidence. Record follow-up questions, answers and any condition changing amount, security, timing or cost. Distinguish document receipt, formal filing, assessment and conditional or final approval according to the actual communication; do not invent a universal timeline for these stages. If switching institutions, request a new list and establish which documents can be reused without further work. Review the cost information SFC identifies as relevant to financial consumers before accepting terms. Finish the file with an outstanding-items summary that another person can understand without opening every personal document. The next action can be supplying evidence, correcting an inconsistency or waiting for a decision before committing an advance. The file is valuable because it enables clear assessment while preserving its limits and privacy, rather than creating an appearance that financing has already been secured.
Document, version and recipient register
Complete this register in your working copy for the institution and product consulted. Distinguish requested, received and reviewed items, and retain sensitive information through an appropriate channel. A complete file does not establish eligibility or approval.
| Item or decision | Information and evidence for your copy | Next check |
|---|---|---|
| Applicant profile and requirements | Consulted product, declared profile, institution-supplied list and response date. | Confirm which documents apply to that profile; another product’s list is not universal. |
| Property identification and representation | Folio, title, holder, authority and references for documents actually requested. | Check property and signatory correspondence; mark receipt without automatically treating it as review. |
| Record for each document | Name, issuer, date, version, status, responsible person, purpose and private copy location. | Identify the current version and outstanding checks; do not send conflicting duplicates without explanation. |
| Budget and funding requirement | Price, quoted items, own funds, requested amount, timetable and outstanding items. | Connect each figure with evidence and validity; distinguish discussed financing from available funds. |
| Submission and shared data | Verified recipient, channel, date, supplied files and consent or purpose explaining submission. | Share only necessary information and retain acknowledgement; documentary receipt does not establish a financing decision. |
