THE MAIN POINT

Commission a verifiable scope rather than an attractive drawing: surveying should explain what it represents, its reference system and outstanding issues.

01

Define which decision the survey must answer

Before requesting a price, write why you need measurement: connecting the visited space with background documents, examining preliminary siting, reviewing access or preparing information for another discipline. Those objectives are not interchangeable and may require different products. Our editorial proposal sends every bidder the same record of location, available documents, areas of interest and questions. IGAC explains basic mapping specifications through products such as orthophotography and terrain models; that reference helps request a defined result instead of buying technology by name. Do not assume that using a drone answers every purchase question. Ask the professional to explain the method, foreseeable limitations and additional information required. If the aim is an initial check, distinguish that phase from surveying intended for design or an official procedure. A limited assignment can be useful where everybody understands precisely which decision it supports and which questions remain open for subsequent investigation by the appropriate team.

02

Supply documents without imposing agreement

Share the background you are authorised to use: property identification, previous plans, acquisition documentation and location references. Mark versions and dates. Do not instruct the surveyor to reproduce the advertised area if the purpose is to investigate correspondence. Resolution 1040 separates the effects of cadastral database entry from ownership, so the lawyer and measurement professional need clearly defined roles. Our working method proposes a reference table comparing sales information, documentary data and the represented result, with explanations for differences. A survey should not automatically be used to assert ownership over every space reached by an instrument. Where ambiguity exists, ask for it to be identified in the product and for the team to agree who investigates. Also establish whether the visited parcel is the complete object offered or a portion whose situation needs further examination before it is negotiated as an independent unit for the proposed purchase.

03

Request an understandable spatial and height reference

IGAC's National Geodetic Network portal brings together references concerning MAGNA-SIRGAS, Origen Nacional and height models. Their existence illustrates why a number table without an explained system is difficult to reuse. Ask the professional to identify the horizontal and vertical references employed and provide enough metadata for another technician to understand the product. Accuracy and method should be justified against the purpose; this article imposes neither universal tolerances nor substitutes for procedural specifications. Our recommendation is to check compatibility with the eventual recipient before fieldwork starts. If the architect uses another base file, agree how the products will relate and who will perform any necessary conversion. A point drawn over a screenshot may aid conversation but does not by itself establish that two products are comparable. Retain the information's origin and avoid manually shifting drawings until they appear to coincide while concealing the transformation that was performed to achieve that appearance.

04

Agree coverage and the features to be observed

Define the surface and surroundings the assignment must represent. Depending on the purpose, the entrance, level changes, existing structures or visible features related to water may matter. Ask the professional to distinguish measured information, material taken from another source and areas that could not be observed. IGAC's documentation on mapping products shows that orthophotography and terrain models have different functions; do not assume an aerial photograph represents everything beneath vegetation. Our brief records inaccessible areas and field conditions so the scope can be priced honestly. Agree access with the owner and avoid entering other properties without permission. Where a question needs context beyond the visited boundary, the professional should explain what supplementary information could be obtained and under which conditions. A result describing its gaps is more useful than an appearance of complete coverage that fails to identify where observations are missing for the particular purchase decision under consideration.

05

Separate an observed fence from a boundary requiring review

In a hypothetical example, a fence departs from the representation in an earlier document. The product should show the difference clearly and explain the information supporting each line instead of deleting one to make the drawing agree. Measurement can organise physical evidence; the legal implications need examination with the relevant documents and professionals. The cited cadastral provision prevents treating database entry as automatic correction of ownership and helps preserve that separation. Our editorial recommendation is to avoid moving fences or marking new points for sales purposes while discrepancies remain unresolved. Request an inventory of issues needing consultation and ask which process might be relevant without promising its outcome through this article. Where two people buy together, both should understand which line supports budgeting or design. A known difference should not be concealed in a tiny note while the advertisement continues to describe the area as fully established by reliable evidence.

06

Review deliverables before accepting the price

Request a concrete deliverable list: a readable plan, files usable by the team, a method note, references and limitations as agreed. Establish which formats will be supplied and whether they contain enough information to review the work. Our editorial commissioning method aims for a second professional to understand the result without reconstructing it from a compressed image. IGAC institutional specifications focus on product characteristics; for a private assignment, the professional should explain which are relevant and what requirements follow from an official use, if any. Compare coverage, access, later clarification and conditions for repeat work after project changes. A cheaper quotation may provide a limited representation while another includes work needed for your purpose; the price alone cannot settle the comparison. Agree how discrepancies will be communicated and which review is included, rather than presenting the service as a square metre figure accompanied by a file nobody else can use effectively.

07

Use the survey to refine a concrete proposal

Imagine placing a preliminary home and vehicle entrance on sloping land. The plan allows the team to recognise level relationships previously imagined, but establishes neither subsurface capacity nor permission to build. NSR-10 Title H addresses project related geotechnical studies, which answer different questions from topographic representation. In our hypothetical case, the team might suggest changing the preliminary location and identifying what requires investigation before pricing a platform excavation. Record what changed between the sales idea and revised proposal. Do not calculate definitive works using incomplete information simply because a digital file now exists. Measurement becomes useful through coordinated decisions: what the architect can examine, what the geotechnical adviser needs and which background the lawyer must clarify. Recognising that sequence is preferable to selling a survey as a complete answer to every uncertainty accompanying a land purchase. Keep each recommendation attached to the professional and evidence that support it for the proposed development.

08

Accept the work with questions and version control

When receiving the product, check property identification, contracted coverage, references, files and outstanding observations. Request an explanation of material differences from background documents instead of a generic guarantee that everything is fine. Keep a closed version and share only the material each adviser needs. If the purpose changes, ask whether the survey remains sufficient before reusing it for another structure or a different procedure. Our editorial workflow proposes a short acceptance record stating what was delivered, what was clarified and what still requires investigation. This replaces neither professional responsibility nor any official review that may be applicable. Sellers who provide a dated plan with its scope can discuss the property more precisely. For buyers, the principal gain is explaining which space was represented, which information connects it with documents and which decisions still require evidence before negotiations or design move into the next stage of the proposed project.

Commission and accept a survey without losing its scope

Complete the record with the professional before accepting a quotation and again on delivery. Precision and coverage are agreed for the actual decision; this example does not set a universal standard.

Commission itemWhat to agree beforehandWhat to check on delivery
Purpose and coveragePreliminary purchase, siting alternative or another question. Identify the land and features to represent. The drawing covers the agreed area and marks unmeasured zones rather than hiding gaps behind a complete-looking image.
Horizontal and vertical referenceRequest the system description, coordinate basis and height reference to be used.Metadata and files allow the next professional to interpret and relate information without guessing references.
Method and relevant precisionAsk the provider to explain the method, proposed precision and limitations against the commission’s purpose. The report identifies measurement conditions and use limits; do not convert geometric precision into legal certainty.
Deliverables and versionAgree a readable drawing, required digital files, date, responsible person and enquiry process.Open delivered files, identify the version and check they match the drawing and property reference.
Discrepancies and acceptanceSupply available background and request descriptions of differences involving fences, registered area or cadastre.Record clarifications and refer boundary or title questions for appropriate review; a survey alone does not determine ownership.
